Commercial Contracts & Governance Coordinator role supporting contract administration, governance, compliance, reporting, corporate records and commercial operations while developing a career in contract management.
About the role
We are looking for an organised, analytical and commercially minded Commercial Contracts & Governance Coordinator to join our team and provide day-to-day support to the Commercial & Legal Manager.
This is a new role, offering an excellent opportunity for someone who enjoys working with information, spreadsheets and processes and is keen to develop their career in commercial contract management, governance and business operations.
You will play an important role in improving contract visibility, governance compliance, audit readiness and commercial reporting across the business. You will help ensure that key contractual obligations, approvals, deadlines and corporate records are accurately maintained, monitored and followed up.
The role would suit a recent graduate, an early-career professional or an experienced administrator looking to transfer their skills into a commercial environment. Legal qualifications or previous legal experience are not essential – what matters most is your ability to organise information, spot inconsistencies, work accurately and confidently follow things up.
Your responsibilities will include:
Contract Administration
Maintaining the central contract repository and contract registers.
Uploading and organising executed contracts and supporting documentation.
Accurately recording contract information and metadata.
Tracking contract expirations, renewals and notice periods.
Monitoring contractual obligations, milestones and key deadlines.
Preparing contract summaries and extracting key information from agreements.
Contract Governance & Compliance
Supporting the development and maintenance of the Contract Ledger.
Assisting with contract risk registers and governance records.
Maintaining approval records in accordance with the Delegation of Authorities framework.
Producing reports on contract status, approvals and obligations.
Supporting contract audits, compliance reviews and data-gathering exercises.
Commercial Support
Preparing first drafts of standard NDAs using approved templates.
Extracting key contractual information, including liability caps, warranty periods, termination provisions, governing law, insurance requirements and intellectual property provisions.
Supporting tender and quotation approval processes.
Assisting with internal approval papers and commercial documentation.
Corporate Administration
Maintaining corporate records.
Assisting with director and company secretarial matters.
Coordinating signatures and document execution.
Liaising with external advisers where required.
Tracking actions arising from commercial projects.
Stakeholder Coordination
Working closely with colleagues across Sales, Procurement, R&D, Engineering and Finance.
Following up on outstanding contract information and actions.
Coordinating contract review workflows and meetings.
Preparing status reports, dashboards and action trackers.
Helping to keep commercial projects moving and ensuring deadlines are met.
What we're looking for
We're looking for someone who is naturally organised, curious and comfortable working with detail.
You will need:
Strong administrative and organisational skills.
Advanced Microsoft Office skills, particularly Excel and Word.
Good working knowledge of Power BI, with the ability to produce and maintain reports and dashboards.
Excellent written and verbal communication skills.
The ability to review and extract information from lengthy and detailed documents.
The ability to manage multiple priorities and meet deadlines.
Confidence working independently while also contributing effectively as part of a team.
A methodical approach and excellent attention to detail.
The confidence to challenge inconsistencies, gaps or missing information.
A willingness to learn about commercial contracts, governance and risk management.
Professionalism and discretion when handling confidential information.
A commercially minded approach and an interest in how businesses operate.
It would be great if you also have
Experience working with contract management systems, SharePoint, Teams or document repositories.
Experience preparing reports, dashboards or management information.
Experience maintaining compliance, governance or other formal records.
Previous experience in contract or commercial administration.
Some knowledge or understanding of commercial contracts.
Experience working in a manufacturing, engineering, technology or other commercial environment.
Qualifications
A degree or equivalent qualification in Law, Business, Commercial Management or a related discipline would be desirable, but is not essential.
We are particularly interested in candidates who can demonstrate the right combination of organisation, attention to detail, analytical ability and willingness to learn.
