The Vacancy
Are you highly organised, detail-oriented and looking to build a career in business administration, systems support, data management, or project coordination?
We're looking for a Systems & Projects Administrator Apprentice, as you’ll be known internally, to join our dynamic Systems & Projects Team. This is an exciting opportunity to gain hands-on experience across multiple business functions, including Supply Chain, Repairs & Maintenance, Asset Management, IT, and Transport, while working towards a recognised qualification.
You'll play a vital role in supporting business-critical systems, maintaining accurate data, coordinating projects, and helping teams work efficiently across the organisation. No two days are the same, making this the perfect role for someone who enjoys variety, problem solving, and working with people.
What You'll Be Doing
As a Systems & Projects Administrator Apprentice, you'll support a wide range of operational and commercial activities, including:
Supporting monthly material audits to ensure data accuracy, compliance and timely completion.
Maintaining sign-off trackers and escalating issues when required.
Assisting with data management, reporting and system updates across the business.
Maintaining databases and supporting the development of reports for stakeholders.
Supporting the Systems & Projects Team with the collection and analysis of project information.
Assisting with the maintenance of commercial project trackers and monitoring project progress.
Helping prepare monthly and quarterly commercial reports.
Working closely with Supply Chain colleagues and Quantity Surveyors to maintain accurate project records.
Business & Team Coordination
Organising meetings, booking venues and workspaces, preparing agendas and taking minutes.
Managing electronic filing systems and document distribution.
Providing administrative and secretarial support to senior managers and wider teams.
Responding professionally to enquiries from colleagues, customers and suppliers.
This is a hybrid role which will enable you to work from home if you wish. The team do come together quite frequently to work together so being happy to travel within our operating region is important.
Our operating region includes Hampshire, Wiltshire, Somerset and Dorset.
What We're Looking For
We're keen to hear from motivated individuals who are eager to learn and develop their skills. This won’t be your first job, as you’ll be bringing with you skills that you gained within employment. You are likely to have at least 12 months experience in an administrative/coordination role.
Essential
GCSEs (or equivalent) including English and Maths grade 4/C and above
Strong organisational skills and attention to detail.
Good communication skills with the confidence to build relationships across different teams.
Basic to intermediate IT skills, including Microsoft Office applications.
Ability to prioritise tasks and meet deadlines.
A positive attitude and willingness to learn.
A full UK driving licence and access to a vehicle for work purposes
Desirable
Previous administration experience in a commercial or office environment.
Experience managing documents, reports, appointments or business data.
Exposure to CRM systems or databases.
