We have an exciting new opportunity for a Graduate Process Improvement AI Integration Assistant to join us on a 12 month FTC. The closing date for applications is 31st July. PURPOSE OF ROLEThis is a 12 month fixed term, entry level graduate role designed to provide practical experience in process improvement, digital transformation, business analysis, data-led decision making and the responsible use of AI across the wider Central Services department.The role is aimed at a recent graduate from a relevant undergraduate or postgraduate course such as Business Analytics, Business Data Analytics, Digital Business, AI and Data Science, Computing for Business, Business and Project Management, Data Science, Construction Management, Quantity Surveying, Building Surveying, Built Environment or a related discipline.The role will support teams by understanding how work is planned, requested, approved, procured, delivered, recorded and reported, then helping to identify practical ways to simplify processes, improve visibility, reduce duplication and strengthen control.The role will work across Central Services, including Projects, Maintenance, Helpdesk, Energy, Refrigeration, Air Conditioning, Building Services, Compliance, Procurement interfaces and reporting activities.The candidate does not need to be a technical AI specialist. The key requirement is someone curious, organised and analytical who can listen carefully, document work clearly, use data to support decisions and apply approved digital tools responsibly in a live business environment.Objectives:·Map priority Central Services workflows end to end, capturing inputs, approvals, systems, handovers, decision points, reporting needs and control points.·Identify where work can be simplified, standardised or digitised to reduce manual administration and improve visibility across teams.·Support practical AI and automation use cases, prioritising approved Microsoft technologies and existing business platforms.·Create clear process maps, templates, guidance notes, action trackers, reporting requirements and benefits summaries with manager support.·Help quantify benefits such as time saved, reduced duplication, faster approvals, improved audit trail, better data quality and clearer ownership.·Apply learning from university projects, dissertations, placements or live consultancy work to real business activities in a practical and controlled way.·Work with Central Services managers and IT so recommendations are realistic, governed, secure and aligned with business requirements.KEY ACCOUNTABILITIES·Spend time with colleagues across Central Services to understand how current processes work in practice and document them accurately.·Support workshops, interviews and information gathering, turning operational feedback into clear improvement actions.·Draft current-state and future-state process maps for review by process owners and department managers.·Assist with requirements for dashboards, templates, SharePoint structures, forms, workflow automation or AI-supported activity.·Use analytical thinking to review process information, identify patterns, highlight duplication and support evidence-based recommendations.·Maintain improvement logs, action trackers, benefits notes and concise progress updates.·Prepare plain-English guidance, training notes and presentation content to support adoption.·Support project coordination activity, including meeting notes, action follow-up, document control and progress reporting where required.·Escalate risks, data issues, governance concerns or unclear requirements to the relevant manager.·Handle operational, commercial, supplier and colleague information confidentially and professionally.TECHNICAL SKILLS·Advanced proficiency in Microsoft Office, particularly Excel, Word and PowerPoint, with the ability to produce high-quality analysis, documentation and presentation outputs.·Good practical working knowledge of Microsoft 365 tools such as SharePoint, Teams, Forms, Power BI, Power Automate and Copilot, or the ability to learn these quickly and apply them responsibly.·Ability to analyse information, identify patterns and present findings clearly.·Basic understanding of process mapping, data analysis, business analysis, project management or digital transformation gained through university study, placement, dissertation, live consultancy project or other practical project work.·Ability to produce clear documents, process maps, templates, action logs and summary reports.·Awareness of responsible AI principles, including confidentiality, security, accuracy checking, governance and human review.·Understanding of how data, systems and digital tools can improve business processes, reporting, decision making and audit trails.·An interest in applying university learning to real operational environments such as maintenance, energy, refrigeration, compliance, procurement, property, construction or the built environment.INTERPERSONAL SKILLS·Curious, organised and willing to learn from experienced colleagues.·Confident asking questions and clarifying how processes work without being critical of individuals or teams.·Able to explain digital, analytical or process improvement ideas in plain English.·Collaborative, respectful and able to build trust across different teams and levels of the business.·Comfortable receiving feedback and improving outputs based on stakeholder input.·Professional, discreet and careful when handling sensitive information.·Practical and commercially aware, with a focus on making work easier, clearer, more consistent and better controlled.·Able to balance academic knowledge with a hands-on, operational approach in a fast-moving business environment.QUALIFICATIONS / KNOWLEDGE / EXPERIENCE·Recent university graduate, ideally within the last two years, from a relevant undergraduate or postgraduate course.·Particularly relevant course backgrounds include Business Analytics, Business Data Analytics, Business Management and Analytics, Digital Business, Digital Transformation, Technology Innovation, AI and Data Science, Artificial Intelligence and Business Analytics, Data Science, Computing for Business, Computer Science, Business and Project Management or other related disciplines.·No previous full-time professional experience is required;
